Confirmation You should reconfirm your reservation and send deposit to our company's account at least 15 working days before your arrival in Vietnam. Your reservation is effective only when you have done this confirmation already.
Cancellations and Cancellation Fees.
1, From Customers’ side:
In case the tour is canceled for any reasons, Khoaviet Travel would charge fee as below:
All cancellations must be received in writing, sent to us via fax or email. You do not have to pay any cancellation fee if you cancel your reservation more than 45-days before the check-in date.
More than 45 days before begining of the trip
03% of the total prices
From 31 to 45 days before begining of the trip
05% of the total prices
From 15 to 30 days before begining of the trip
10% of the total prices
From 07 to 14 days before begining of the trip
15% of the total prices
From 72 hours to 6 days before begining of the trip
20% of the total prices
Less than 72 hours before begining of the trip
30% of the total prices
But with notes:
- In your tours if you cancel the tickets after receiving a confirmation from us, we can not refund the tickets. - In your tours, if you cancel any services from Victoria company (Victoria Hotel Resort, train ticket, boat ticket...), the fees will not be refunded after confirmation of your reservation.
2, From Khoaviet Company:
The tour contract between Khoaviet Travel and customers just could be canceled by Khoaviet Travel for objective reasons like natural disasters, diseases, political conflicts. In above mentioned reasons, customers would be refunded without compensations.
Cancellations and Refunds. All cancellations must be received in writing, sent to us via fax or email. The following rules apply for cancellations: • More than 45 days prior to departure: The total deposit paid to us (30% or US$ 100) will be valid for one (1) year from the date the deposit was received. During this time (365 days) the amount can be applied to other tours and services. After one (1) year the deposit amount is forfeited. • Less than 29 days prior to departure: Complete forfeiture of deposit, due to hotel charges we incur for guest no-shows.
Deposits must receive a deposit from the client as 30% of total tour cost after reconfirmation of booking. Deposit should be sent by bank draft or transfer to our bank account. (If this amount is less than $100, a $100 deposit will apply).

After customers arrive in Vietnam the balance will be regulated or transferred to our bank account of the owner ofKHOAVIET TRAVEL or payment at our offices. Payment online internet:
We will charge 3,5% for payment online internet by credit cards by; www.onepay.vn (we will set up the invoices then send the link by email)
Cash payment: only after the agreement of the two parts
Travellers'cheque: only after the agreement of the two parts; 1.00% of expenses are with the load of Client/ Agency.
Credit card: For payment by credit card, 3 % of expenses are charged by customers. This is for paying the balance in our offices.
• Amendment report must be sent to us via email or fax, at least 10 working days prior to your arrival date. • We will advise the availability and possible amendment fees for changes made by you to your confirmed booking at the time when we receive the amendment report. However, we will not take any extra fees for those changes if no extra cost arises from them.
Unused services No refunds or exchanges can be made with respect to accommodation, meals, sightseeing tours, transport or any other services, included in the tour price, but not utilized by the tour members. Travel documents will be compiled after the deposit has been received and are sent two or three weeks prior to departure. These documents will be sent via email, and should be printed out by participants and retained as a receipt.
Khoaviet Travel Company has no responsibilities on other cases without mentioned in the contract.
During the trip, Tourist has to follow all the stipulations and instructions from tour guide or suppliers. All possible care is taken to ensure that our suppliers maintain the highest possible standards. However, we are not responsible in any way for problems, however they arise, that result from the booking of services we do not directly control. We, affiliated companies, servants or agents shall not be responsible or become liable in contract or tort for any injury, damage, loss, delay to person or property, additional expenses or inconvenience caused directly or indirectly due to any events beyond our control.
Argument and Disagreement:
In case of Argument, both parties (Khoaviet and it’s customers) should try to find out the effective solutions by holding diplomatic talks at first. If it does not success on negotiation, the problem is reported at International Arbitration Centre under Vietnam Commercial and Industrial Chamber. All claims must be written and submitted to Khoaviet travel within 30 days after the end of services.
According to the Vietnam legal policy in 2001, all tour companies can only work under permission of International Travel Licence and have to deposite of security money of 500 millions VND at Vietnam Bank. This amount is used only to refund for Khoaviet Travel’s customer in case we cancel the contract and court failure.
Khoaviet travel is inbound tour company; hence we have no responsibilities on arrangement of any kinds of insurance for tourists. We would like to advice tourists to contact with insurance companies in their country. However, we can be a bridge between tourists and insurance companies.
(upon request. Insurance fees is 1.50 USD/ day/ person, cover with accident insurance up to 10.000,00 USD (Ten thousands US dollars) at Vietnam Insurance Company(BaoViet ).
